One of the questions our instructors regularly hear from ETFO Credit Course participants is how they can obtain transcripts. All course transcripts are issued by Drake University, which accredits our courses.
Here is a guide to getting your transcript.
How do I obtain a transcript?
Is there anything special I should list on my transcript request?
How can I determine whether all of my courses will appear on my transcript?
I see the phrase “Term in Progress” on my transcript. What does that mean?
I cannot download the transcript request form. What should I do?
How much does it cost to order a copy of my official transcript?
How can I make my payment?
How long will this take?
Can I request express delivery?
Can my transcript be faxed?
Can I have my unofficial transcript?
What if my record is on hold?
Can my transcript request be delayed until my semester grades or degree information has been recorded?
I do not recall having requested my official transcript, but I received one in the mail anyway. Why?
I received a complimentary copy of my transcript, but not all of my courses are listed. Why?
How do I obtain a transcript?
ETFO Credit Courses are accredited by Drake University, and Drake issues all transcripts.
When you complete an ETFO Credit Course, you will automatically get an updated transcript from Drake. Whenever a grade (or multiple grades) gets recorded, a transcript is generated and mailed automatically the following business day at no charge.
If you want to purchase additional copies, you need to download a Transcript Request Form and mail or fax the completed form to the address indicated on the document. There is a charge of $5.00 (US) per transcript if ordered in this manner.
Note: Because of the way Drake enters student information from extension education courses, they sometimes receive a request for a transcript before they receive your registration and grade. As a result, they might release an incomplete transcript. To prevent this, we strongly urge extension education students to list on their transcript requests the titles of the classes that they expect to appear on their transcript.
Is there anything special I should list on my transcript request?
For greatest accuracy, please list on the transcript request the course(s) that you expect to see on your Drake transcript.
The Student Records Office occasionally receives transcript requests before all coursework has been submitted to Drake. In this circumstance, the Student Records Office may process such transcripts before all coursework has been posted to your record.
Listing the course(s) that you expect to see on your Drake transcript, as well as the dates the course was taken, will improve accuracy.
How can I determine whether all of my courses will appear on my transcript?
The best way to do this is to log in to Drake’s student web portal, called blueVIEW, and access your unofficial transcript. What appears on your unofficial transcript will appear on your official transcript.
You need a valid Drake ID number and password to access blueVIEW. If you do not know your Drake ID number or have difficulty logging in to blueVIEW, contact Drake’s Support Center for assistance.
If you think one or more of your courses is missing from your unofficial transcript, contact our extension education staff.
I see the phrase “Term in Progress” on my transcript. What does that mean?
Occasionally, you might complete your course work and earn a final grade before the end date of the term for which you are registered. Consequently, the corresponding transcript displays the “term in progress” phrase to indicate that the transcript was printed before the end of the semester. The phrase has nothing to do with the validity of the final grade and is displayed only to indicate that it was printed before the semester’s end date.
I cannot download the transcript request form. What should I do?
If you cannot access the transcript request form, you must still submit the request in writing. Submit the written request by fax or mail. Drake cannot accept phone or email requests.
You should include the following information in your written request:
- Your Drake ID number. If you do not know your Drake ID number, list your social insurance number and birth date so that Drake can accurately identify you.
- Your full name.
- Any former names. Please include any names that you may not have even used while a student at Drake.
- Last semester of attendance. If you do not know the exact date, please list your best guess.
- Current mailing address.
- Address to which the transcript should be mailed.
- Your daytime phone number, in case we have questions or problems processing your request.
- For greatest accuracy, also list the courses that you expect to appear on the transcript
- Your signature and date. Drake cannot process requests that do not include a student’s valid signature.
- Please also include your payment. Cheques or money orders (in US$ please) can be made payable to Drake University, or you may list your credit card information. Each transcript costs $5 US.
How much does it cost to order a copy of my official transcript?
Each requested copy costs $5 US. A bulk discount is applied when more than four copies are requested at the same time. Each transcript after the fourth copy costs $1 US. Drake can fax a copy for an additional $1. Payment is due at the time of the request.
If an unofficial copy would suffice, you can access one via our student web portal, called blueVIEW. A valid Drake ID number and password are required.
How can I make my payment?
Credit card – Faxed requests will be accepted only with appropriate credit card information:
- Account number
- Expiration date
- Signature of card holder
- Visa or Master Card
Cheques can be accepted only when request is delivered by mail. Cheques can be made to Drake University.
How long will this take?
Requests typically can be processed within one or two business days upon receipt. During peak times, such as at the beginning and end of a semester, please allow three to five business days.
Requests will be processed during fall and spring break; however, due to staff limitations, such requests may take 3-5 business days to process. The university typically is closed for business between the end of the fall semester and the first week of January. Check the university academic calendar [http://www.drake.edu/academics/academic-calendar.php] for specific semester and holiday dates.
Can I request express delivery?
Upon request, transcripts can be sent overnight via UPS only.
Express delivery cannot be made to a post office box.
In addition to the transcript request fee, fees for express delivery are required to cover the cost of shipping. Please consult UPS (www.ups.com) for fee information.
Express delivery options can be selected with the appropriate check box on the transcript request form.
Can my transcript be faxed?
Upon request, Drake can fax official transcripts. Be aware that the receiver may not consider a faxed copy to be an official document.
In addition to the transcript request fee, the fee to fax a transcript is $1 US.
Drake will mail the original document to the address listed on the transcript request form. If no address is listed, Drake will mail the original document to the mailing address for you which Drake has on file.
Can I have my unofficial transcript?
Drake University only issues official transcripts. Current and previous students can access an unofficial copy of their transcript via the Student Services tab in blueVIEW.
A valid Drake ID number is required to access blueVIEW. Alumni who do not know their Drake ID number can obtain it here.
What if my record is on hold?
Certain holds on your records may restrict the release of your transcripts. Transcripts will not be released until you have made satisfactory arrangements with the office that initiated the hold.
The Office of Student Accounts will notify you if an existing hold will prevent the release of your transcript. You must resolve this matter by contacting the appropriate office(s).
Can my transcript request be delayed until my semester grades or degree information has been recorded?
Yes. Please indicate this at the time of the request. To expedite the processing and increase accuracy, note the specific semester or degree for which you are waiting.
I do not recall having requested my official transcript, but I received one in the mail anyway. Why?
For extension education courses only, Drake automatically mails one free official transcript to your mailing address. Whenever a grade (or multiple grades) gets recorded, a transcript is generated and mailed automatically the following business day.
I received a complimentary copy of my transcript, but not all of my courses are listed. Why?
Whenever a grade (or multiple grades) for an extension education course gets recorded, a transcript is generated and mailed automatically the following business day. It is possible that the transcript you received was generated when only one of your courses was graded. The likely cause of your missing courses is that Drake has not received the registration and/or grade information for the missing course(s).
If you have more questions regarding this issue, please contact the extension education staff.
